The 7-Stage Certification Process

From engagement to transfer, every step is auditor-managed, evidence-backed, and legally defensible. A typical engagement runs about 122 auditor hours across 45–90 business days.

Stage 1

Engagement & Scoping

3–5 business days

Every engagement begins with a detailed scoping call. We assess the business type, asset categories, number of locations, and complexity of the capital structure to determine the appropriate tier and timeline.

What the Auditor Does

Reviews business profile, determines domains in scope, assigns lead auditor, schedules kick-off call.

What You Provide

Business overview, financial summary, list of locations, access to facilities.

Stage 2

Physical Inventory

10–20 business days

The auditor physically touches every asset. No desktop valuations. No estimates. Every piece of equipment, every vehicle, every fixture is catalogued with its unique DVR identifier.

What the Auditor Does

Conducts on-site physical count of all assets. Records serial numbers, VINs, model numbers. Tags each asset with a unique DVR identifier.

What You Provide

Facility access, equipment schedules, staff for coordination.

Stage 3

Evidence Collection

5–15 business days

A typical engagement captures 1,200+ photographs and 85+ supporting documents. Every piece of evidence is timestamped and geo-tagged for chain-of-custody purposes.

What the Auditor Does

Photographs each asset (multiple angles), collects titles, registrations, maintenance records, lease documents. Records condition scores (1–5 scale).

What You Provide

Access to records, titles, maintenance logs, insurance certificates.

Stage 4

Third-Party Validation

10–15 business days

This stage is where most DIY due diligence falls short. We run comprehensive lien and title searches across multiple jurisdictions and validate against NICB and state databases.

What the Auditor Does

Runs lien searches (UCC, state, county). Validates titles. Cross-references serial numbers against theft databases. Verifies insurance coverage.

What You Provide

Authorization forms for third-party searches.

Stage 5

Secure Storage

3–5 business days

Your DataVault is a secure, encrypted digital repository. Every document upload, every access event, every change is logged in an immutable chain-of-custody record.

What the Auditor Does

All evidence, records, and certifications are encrypted and stored in your secure DataVault. Chain of custody is finalized.

What You Provide

Nothing — this stage is fully managed by DataVaultResults.

Stage 6

Report Publishing

5–7 business days

The Certified Asset Record is a comprehensive package: executive summary, domain-by-domain certification, photo evidence index, lien resolution log, and the master certification signed by the lead auditor.

What the Auditor Does

Compiles the Certified Asset Record. Generates summary reports, domain certifications, and the master certificate. Publishes to client portal.

What You Provide

Review and approval of draft report.

Stage 7

Access & Transfer

Ongoing

You control who sees your data. Invite buyers, lenders, and attorneys with role-based access. Track every document view, every download, every access event.

What the Auditor Does

Manages buyer/lender access invitations. Monitors deal room activity. Provides auditor availability for Q&A calls.

What You Provide

List of authorized parties (buyers, lenders, attorneys).

Chain of Custody

Every action taken during the engagement — every photo upload, every document submission, every lien search result — is logged with a timestamp, user identity, and action description. This chain of custody is immutable and forms part of the Certified Asset Record.
